In this article you´ll learn how to configure an export template so that it can be used directly in the staffplanning or employee pages, such as Teamsheet, Employee Administration, Invitation List and more).
The direct export is based on normal export templates. To be able to use a template directly in a specific area , some settings must be made in the configuration of the export template.
Link template with data
Unlike the regular export, which is based on search filters, the direct export draws its information from selected data. This data can be, for example, assignments (in the team list) or employees (in the invitation list or employee administration).
In order for a template to use selected data records, a corresponding filter must be defined. This is done in three steps.
1. Add the ID field of the data record to the template
First, the ID field of the corresponding data record must be added to the template columns. This is the ID of the assignment for the team list context, the ID of the employee for the invitation list and the employee administration.
ATTENTION: The system ID must be used and not an identification number that you may have created yourself. The system ID can easily be recognized in the resource mapping view (accessible via the blue "Edit Resource Map" button:
The system ID is marked with a key icon. The easiest way to find this is to search for "ID" on the corresponding resource (assignment or employee). In the example, the system ID assigments is selected as the template is to be used for the team list:
2. Configure filter on ID field
Now a filter must be defined for the added ID field. To do this, select the field under Columns and activate the checkbox next to Search form -> Search field on the right-hand side:
The filter type must be set to "in". This allows the system to filter multiple data records in a list.
Optionally, the field can be hidden from the exported list (the view), as a system ID is usually of no interest to the reader.
3. Link direct export with ID field
The last step is to link the now configured ID field to the direct export.
This is done using advanced storage options. Select the context where you would like to use the direct export template:
Then select the id as a search criteria:
Save the template, which will now be available in the selected context, for example in the teamsheet:
