The settings for automated planning can be activated or adjusted in Configuration>Settings>Events or directly in the Event Settings for single Events:
Auto-Assign
If this funcionality is activated for an event, a blue blizzard is shown in the header. The same symbol appears next to an employee´s name as soon as they were assigned automatically:
With Auto-Assign, employees who have applied for a function are automatically assigned to it if the function still has capacity. This is done either provisionally or permanently (depending on the settings).
The (provisional) assignment takes place according to the first-come-first-serve principle. If an employee is already assigned to a different function at the same time (conflict) they will be ignored for auto-assigning. They can still be seen on the right in the enrolled employees section.
You can likewise set to which extent (in percentage) a function may be overbooked.
In the employee App, the blizzard-icon shows that an event uses the auto-assign functionality:
Auto-Lock
Auto-Lock automatically closes a function for new registrations as soon as it is full (no open positions). Employees can therefore no longer apply for the affected function.
Thias setting can be activated stand-alone (without using the auto-assign functionality). In that case, overbooking of functions is not possible (the function will be locked as soon as the planned amount of employees were assigned).
