The Team Leader App: Functionality and Usage

Using the Team Leader functionality requires the “Team Leader” add-on and is not available by default. If you are interested in this add-on, please contact support@staff.cloud.

The Teamleader function is a special function that you can assign to any regular event function (ex: shift leader, service leader, station leader, etc.).

Team Leader App functionality

The Team Leader App provides:

  • Planners with mobile access to Staffcloud and an overview while on the go.
  • The option to designate one or more employees as team leaders. These employees can then:
    • log in to the Team Leader App using their regular login credentials and view the employees assigned to the event or project, including their phone numbers and a direct call option
    • access the event/project QR code for check-ins
    • check employees in and out or mark them as “on time” or “no show”
    • view employees’ pre-check-ins, if this functionality is enabled
    • propose working times that differ from the recorded check-in and check-out times
    • view employee absences, if permitted in the configuration
    • rate employees after an assignment, if permitted in the configuration

Accessing the Team Leader App as a planner

Planners can access the Team Leader App directly from their account. The option is available in the top-right corner under the planner’s name.

When accessing the Team Leader App as a planner, the following additional information is visible that employees assigned as team leaders cannot see:

  • Employee tags
  • Assignment notes

All other Team Leader App functionality is also available when accessing it with a planner account.

Assigning employees as team leaders

Employees can be assigned as team leaders either at event level or project level.

Team Leader at event level:
The team leader can only see employees assigned to the same event and can use the Team Leader App functionality for these employees.

Team Leader at project level:
The team leader can see all employees assigned to the entire project and can use the Team Leader App functionality for them.

There are two ways to assign employees as team leaders:

Assigning employees to a Team Leader function

You can create one or more functions that automatically grant employees assigned to them access to the Team Leader App.

Under Configuration → General Settings → Value Lists, you can find the list of available functions.

If the “Team Leader” module is enabled, two additional checkboxes are available for functions:

  • Grants Team Leader role at event level – the team leader can see all employees within the event.
  • Grants Team Leader role at project level – the team leader can see all employees within the entire project.

For functions configured with a Team Leader role, this special role can be disabled during event creation under Advanced Options or subsequently for existing events via Edit Event/Team.

The Team Leader role can also be added to any function when creating or editing an event function under Advanced Options.

Inviting and assigning employees works in the same way as usual for planners.

Functions that include a Team Leader role are highlighted with a green background in Staff Planning.

Assigning individual employees as team leaders

In some situations, you may not want to create a separate function for team leaders because the team leader role is performed alongside another function.

Once an employee has been assigned, you can use the context menu to assign them either of the following roles:

  • Team Leader Event
  • Team Leader Project

Employees who have been assigned an individual Team Leader role are marked with a blue or green bar above their name in Staff Planning.

The QR code available in the Team Leader App and the option for team leaders to check employees in and out allow team leaders to submit time tracking data to the Timestamps tab.

This means that employee check-ins remain traceable.

In the details, planners can see whether a check-in was performed by a team leader and which team leader recorded it.

If a team leader submits working times that differ from the recorded check-in and check-out times, these are displayed in the Work Data section.
