Email with Staffcloud login details
As soon as your employer has activated you in the system, you will receive an email with your login details for the Staffcloud app and the Staffcloud web portal. Once you log in, you can receive job requests and view your shifts.
The email contains all the information important to you as a new employee:
- Login link to the Staffcloud web portal
- Username (= your email address) and password
- Link to download the Staffcloud app
If the email ends up in your spam folder, please mark the email address noreply@staff.cloud as a trusted sender. You can find out how to do this here:
Logging in
Use the link from the email or enter the URL (companyname.staff.cloud) in your browser (preferably Chrome, Firefox, or Microsoft Edge).
In the "Username" field, enter the email address with which you are registered with your employer.
Below that, enter the password you received in the welcome email. Then click "Log in".
If you have forgotten your password, you can click on "Forgot password?" You will then need to enter your username (your email address) again and will receive an email to reset your password.
Event invitations
In the "Event invitations" tab (1), you can not only view your invitations but also shifts for which you are already registered. Using the filter options (2,3), you can adjust the overview display. You can change the language (4) at the top right. The languages available here are determined by your employer.
The overview (5) provides the following information: date, project name, job type, time, day, location, and status of the invitations.
By clicking on the event name or status, a window opens showing information about the event where you can apply for the event or ignore it.
Applying means you would like to accept this job. Ignoring means you are not interested.
After you apply, your employer decides whether to assign you to the job, and you will receive a push notification and/or email.
If you have accidentally ignored a shift, use the filter (see above) to display the shifts you have ignored again. Then you can register as before.
My assignments
If you have been assigned to an event, you will find it under the "My assignments" tab (1). Here you can search for assignments using the search field (2) or use the filters (3) to view upcoming, open, and past assignments.
To confirm an assignment, click on the name or status of the respective event and then click "Confirm".
Availability requests
If your employer uses this feature, you may receive availability requests. Then you can submit your general availability for the requested times and days.
To do this, select the appropriate request in the "Availabilities" tab and click on the days/time slots when you can work. Then click "Send availabilities".
You can update already submitted availabilities as long as your employer has not locked the editing.
Submitting working hours and expenses
If your employer uses this feature, you can submit your actual working hours and, if applicable, any expenses incurred after the assignment.
This also takes place in the "My assignments" tab (1) in the "Open" folder (2). Select an assignment for which you want to enter working hours (3). A window with event details will open, where you can manually enter the working hours and any expenses (4) at the bottom. Then click the "Submit working data" button (5).
After submitting, you can no longer edit the times. If you made a mistake here, please contact your employer. Assignments for which you have already submitted times can be found in the "Past" tab under "My assignments".
Calendar
In the Calendar tab, you can enter absences (such as vacation). This way, your employer knows when you are not available. To add an absence, click the "Add absence" button (1) at the top right and enter the desired days.
Furthermore, you can search for events (2) and filter the displayed events (3).
Changing data, password or profile picture and communication
At the top right next to your name, you will find the following options:
"My account": here you can view and partially edit your data fields (settings are controlled by your employer) and set a new password.
"My pictures": here you can upload a (new) profile picture
"My settings": here you can set a reminder notification for upcoming assignments.
"Log out"
Also at the top right, you will find all messages and notifications.
