Planning External Staff in Staffcloud - Overview

If your own employee pool is not sufficient, you can also schedule external staff provided by staffing agencies or other service providers in Staffcloud. This allows you to maintain a complete overview of your workforce planning even during periods of high demand, holiday seasons, or when additional staff are required at short notice.

Requirement: “External Staff” Add-on

To manage and schedule external staff in Staffcloud, you need the “External Staff” add-on.

The add-on is free of charge and can be requested via support@staff.cloud or directly through the Support Widget.

Please note: Scheduled hours and assignments of external staff count towards your contracted hours and assignment volume.

Managing External Staff in Staffcloud

External employees can be added to Staffcloud and included in Staff Planning alongside your own employees. This means that assignments covered by external staff remain part of your central workforce planning.

Individual forms can also be configured for external service providers and their employees. This allows you to capture and manage all information required for your processes directly in Staffcloud.

Include External Staff in Personnel Costs

A wage profile can also be assigned to external employees.

This allows the costs of external staff to be included in the personnel costs of a project and evaluated together with the costs of your own employees. As a result, you can maintain a more complete overview of the actual personnel costs of each project.

No App Access for External Staff

External employees do not have access to the Staffcloud App.

Direct communication with external employees via Staffcloud – for example through invitations or other app-based communication features – is therefore not possible. Communication with external staff must continue outside Staffcloud or via the respective external service provider.
